Operations Manager | TLC Coaching Practice

Job Overview: We are seeking a dynamic and detail-oriented Operations Manager to oversee and optimize daily operations for our growing executive coaching practice. This position will play a pivotal role in ensuring the continued satisfaction of our coaches, coachees, and partner companies. Success hinges on strong management of logistics, oversight of critical systems and processes, and identification of opportunities for innovation and improvement. As a member of a high-performing team, you will have a significant impact on both the success of our coaching practice and TLC’s broader initiatives.


Key Responsibilities

Operations & Project Management:

  • Oversee daily operations of the coaching practice (1:1 engagements & peer coaching circles); ensure smooth coordination between coaches, coachees, and Team TLC.

  • Optimize systems and processes to enhance service quality, innovation, and efficiency.

  • Author and evolve coaching collateral and resources for successful coaching engagements.

  • Manage the implementation of new coaching products and other projects as assigned.

Relationship & Community Management:

  • Manage the coach and coachee journey from onboarding to post-engagement evaluation.

  • Proactively address coach and coachee inquiries and resolve issues promptly.

  • Build a strong coaching community through internal meetings and strategic communication.

  • Support onboarding and training of new coaches and staff.

Technology Management:

  • Oversee TLC's coaching platform for scheduling, tracking, and coach-coachee interactions.

  • Ensure technology functions effectively and assess for improvements or upgrades regularly.

Reporting & Analytics:

  • Monitor and report on KPIs related to coach & coachee satisfaction, coach effectiveness, etc.

  • Compile and deliver customized reports for TLC's partner companies.

  • Generate biannual feedback reports for coach development.

Contracting & Financial Management:

  • Manage the coaching budget by tracking expenses, forecasting, & ensuring cost efficiency.

  • Administer initial contracts for new coaches and extension contracts on an ongoing basis.

  • Track and ensure timely, accurate coach payments.

Program Operations:

  • Context: The TLC Leaders Program is a 3-month leadership development program which includes virtual live classes facilitated by Team TLC’s “Class Team.”

  • Attend classes and provide technical & operations support as part of the Class Team.

  • Provide other program operations support as needed.


About you:

  • Education: Bachelor’s degree in business, organizational psychology, HR, or a related field. Relevant certifications or advanced degrees are a plus.

  • Experience: 3+ years in operations or project management, preferably within an executive coaching, consulting, or professional services environment.

  • Skills & Personal Traits:

    • Strong organizational and multitasking abilities.

    • Excellent communication and interpersonal skills, with the ability to manage relationships with high-level executives and coaches.

    • Proficient with technology, including Google Suite (Gmail, Docs, Sheets, Slides).

    • Enthusiastic about learning and deeply understanding systems and tools, including Calendar, CRMs, Zoom, Livestream, and more.

    • Experience with coaching software is a plus.

    • Strong problem-solving and analytical skills.

    • Ability to work independently and as part of a collaborative team.

    • High attention to detail and a passion for operational excellence.

    • Flexible and adaptable in a fast-paced, dynamic environment.
